In short: we only collect the details you send us through the enquiry form or by contacting us directly, and we use them for one purpose — to answer your sourcing enquiry and, if it goes further, to manage the commercial relationship. We do not sell your data. We do not use advertising or tracking cookies on this website.

This website is operated by Vexillum Ventures ("Vexillum Ventures", "we", "us", "our"), a business based in the United Arab Emirates. For the purposes of applicable data protection law, we act as the data controller for personal data collected through this website.

2. Which law applies

Our handling of personal data is intended to comply with applicable UAE data-protection requirements, including Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (PDPL), where it applies. Additional rules may apply depending on where a client is located or where data is processed.

3. What personal data we collect

3.1 Data you give us directly

When you submit the quote request form, email us or message us on WhatsApp, we may collect:

Company name
Contact name
Business email address
Phone or WhatsApp number
The product requirement, quantity, specification, delivery destination and timing you describe
Any further detail you choose to include in your message

Please only send business contact details and commercial information. Do not send sensitive personal data (such as health, biometric or financial account information) through this website.

3.2 Data collected automatically

This website is a static site hosted on Netlify. We do not run advertising trackers, analytics cookies or third-party marketing pixels on it. Our hosting provider processes standard technical server information — such as IP address, browser type and pages requested — for site delivery, security and abuse prevention. When you submit the quote form, the submission may also include the page URL, referring page and campaign parameters (such as UTM tags) that were present in the address bar. We use these only to understand the source and context of the enquiry. Google Fonts is used to serve typefaces, which involves a request to Google's servers.

3.3 Cookies

We do not set advertising or analytics cookies on this website. If we introduce analytics or similar technologies in future, we will update this policy and, where required, request your consent beforehand.

4. Why we use your data, and on what basis

We do not use your enquiry details for unrelated marketing, and we do not add you to a marketing list without your agreement.

5. Who we share it with

We do not sell, rent or trade personal data. We share it only where necessary:

Hosting and form processing — Netlify, which hosts the website and processes/stores form submissions for the site owner.
Suppliers and manufacturers — where sourcing your requirement makes it necessary, we may share the technical and commercial specification, and where relevant the delivery destination. We share your personal contact details with a supplier only where it is necessary to fulfil your request.
Logistics and shipping providers — where an order proceeds and delivery has to be coordinated.
Professional advisers and authorities — where we are legally required to disclose information.

6. International transfers

We are based in the United Arab Emirates and work with suppliers and clients across international markets, including Africa. Our hosting and other service providers may process data in more than one country. As a result, enquiry data may be transferred to or processed outside the UAE or outside your own country. Where applicable, international transfers should be handled using a lawful transfer basis and appropriate safeguards.

7. How long we keep it

Enquiries that do not proceed: kept only for as long as reasonably necessary for follow-up, business records and dispute prevention, then deleted or anonymised when no longer needed.
Enquiries that lead to a transaction: retained for the duration of the business relationship and afterwards for as long as required by applicable UAE commercial, tax and accounting rules.

8. How we protect it

The website is served over HTTPS. Form submissions are transmitted over an encrypted connection and stored by our hosting provider behind account authentication. Access to enquiry data within Vexillum Ventures is limited to the people who need it to answer your request. No method of transmission or storage is completely secure, but we take reasonable technical and organisational measures appropriate to the nature of the data involved.

9. Your rights

Under the PDPL you have the right to:

Be informed about how your personal data is processed
Request access to the personal data we hold about you
Request correction of inaccurate or incomplete data
Request deletion of your personal data
Request restriction of, or object to, certain processing
Request transfer of your data to another controller in a structured, machine-readable format
Withdraw your consent at any time, without affecting processing carried out before the withdrawal
Object to processing for direct marketing purposes

To exercise any of these, email admin@vexillumventures.com. We will respond within a reasonable period and may need to verify your identity first. If you believe we have not handled your data properly, you may raise the matter with the UAE Data Office.

10. Children

This website is a business-to-business service and is not directed at children. We do not knowingly collect personal data from anyone under 18.

11. Links to other sites

This site links to WhatsApp for direct messaging. Once you leave our site, the privacy policy of that provider applies to the data you share there. We are not responsible for the practices of third-party services.

12. Changes to this policy

We may update this policy as our services or legal obligations change. The revision date at the top of the page will always show when it was last amended. Material changes will be reflected here before they take effect.
